What it does

When a call comes in and the AI receptionist answers, it asks a small, fixed set of questions: what the job is, where, how urgent, and how to reach the caller, one at a time, in a natural spoken flow. What it says back to the caller is always server-defined, not generated freely by the AI, so the conversation stays predictable and on-topic.

The answers are extracted into a structured job record automatically, so by the time a human on the team sees it, the essentials are already captured, instead of a voicemail that still needs to be listened to, transcribed, and turned into a job manually.

Where it helps, and where it doesn't

Genuinely helps when
  • Call volume is high enough that manually returning every voicemail is a real bottleneck.
  • Emergency jobs need enough detail captured up front (location, urgency, issue) to dispatch fast.
  • Calls come in outside hours when nobody is available to answer live at all.
A human (or simple text-back) may be better when
  • The conversation genuinely needs judgment: negotiating, reassuring a distressed caller, or handling something outside a standard job enquiry.
  • Call volume is low enough that a fast SMS reply is already keeping customers engaged.
  • Your customers strongly prefer speaking to a person immediately, and you can realistically staff that.
